Add a new vehicle

Steps to add a vehicle to your fleet, from VIN and plate to driver assignment.

Adding a new vehicle takes under 2 minutes if you have the registration document at hand. Rolly auto-completes most technical data from the VIN — you just confirm.

Before you start

  • The vehicle's registration document (or a clear photo)
  • The licence plate number
  • Contract type (operational / lease / subscription / owned)
  • (Optional) Insurance, inspection and casco documents — can be added later

Steps

Open the Fleet section

From the sidebar, click Fleet. You'll see the list of all existing vehicles.

Click "Add vehicle"

The purple button in the top-right of the screen. A side panel form opens.

Enter the VIN

The 17-character code from the registration document. Rolly decodes it automatically — make, model, year, displacement, emissions standard.

Tip

If the VIN cannot be decoded (vehicle older than 1981 or registered outside the EU), you can fill the fields manually.

Enter the licence plate

Format: county + digits + letters (e.g. B 123 RLY). We validate the format automatically.

Choose contract type

Operational, lease, subscription or owned. Each choice asks for slightly different contract data at the next step.

Assign a driver (optional)

You can link the vehicle to an existing driver or create a new one in this step.

Save

Click "Save vehicle". The vehicle appears immediately in the fleet list with the "Active" status.

Done!

Your vehicle is now in Rolly. Recommended next step: upload the documents to get automatic expiry alerts.

FAQ

Can I add multiple vehicles at once?

Yes — use the "Bulk import" button on the Fleet page. Accepts Excel, CSV or Google Sheets.

What if the VIN is wrong?

The system shows a warning. You can correct it or continue and fill the data manually.

Can I delete a vehicle?

We recommend marking it as "Retired" instead of deleting. Its history remains accessible for reports.
